June 2018 Board Meeting Minutes

Greenwich Free Library Board of Trustees Meeting June 20, 2018 at 7:00 pm

Present: Annie Miller, Naomi Meyer, Teri Pendergrass, Jim Nolan, Sandy McReynolds, Walter Grom, Pat Lamb, Cliff Oliver, Paul Thurston

Approval of Last Month’s Minutes: Approved Walter/ Naomi

Committee Reports:

Board Recruitment and Training:

Potential new board member. Now’s the time to get our recruitment and orientation procedures squared away. Will schedule a meeting. Annie will find materials from other libraries.

Building:

Teri reported on preparation for June 29th brainstorming meeting. Board members encouraged to invite community members.

Roof contractor recommends: Replace ridge piece and some loose slates, repair or demolish garage roof.

Board will investigate tearing garage down and possibly other outbuildings

Events: No action

Fundraising: No action

Marketing and PR:

Pat will meet with Annie next week

Policy:

Split up policies to mark up

Gill Room Report:

Canal talk went well.

Whipple City: Fire Tour a big success. Exhibits in Community Room got very little traffic.

Discussion of new loaning policy – liability, compensation for damage or loss will require assigning a value

Friends’ Report: No representative attended

Monthly Financial Transactions:

Approved Naomi/Walter

Library Director’s Report:

New chairs and benches. New bike rack ordered. $175 left for a planter.

Old chairs in community room? Naomi and Paul will help disassemble and dispose.

Contract payments from both Town and Village.

Summer Reading schedules and procedures in place.

Great American Read tent test drive at Whipple City was successful.

Poor attendance at evening programs this month. Skip June next year?

Director will be on vacation for August meeting.

No luck yet finding a clerk of the works/project manager for this winter.

Secured another $500 grant for ARSL conference expenses in September.
